One of the advantages offered by Siebel Analytics is the possibility of automating the sending of personalized reports to users. This is especially useful to notify them of delays in the management of the data reported in Siebel, periodic reports on the evolution of the same, etc.
To do this we have Siebel Delivers. Below I summarize how this automation can be configured:
- Access to Siebel Delivers: with our Siebel Analytics session started, click on the “More Products”/”Delivers” link. From this menu we can create our iBots.
- What is an iBot?: The iBot is the “agent” that is responsible for sending the report to users. The iBot settings specify the shipping details.
- iBot configuration: The most relevant data for the configuration of an iBot is distributed in the following tabs:
- GENERALITIES: Here you can indicate the priority with which the mail will be sent, and what visibility will be applied to the report (that is, if the user will receive the full report, or only those records that correspond to him).
- Schedule: Will specify when the report should be sent. The shipment can be punctual or periodic, and in the latter case it can be executed daily, weekly, monthly, etc. There are many options to manage virtually any periodicity that is necessary.
- Recipients: Indicates who will receive the report. By default it will be received by the owner of the iBot, but specific users or Siebel Responsibilities can also be included (so those assigned that responsibility would receive it). In the latter case, it will be necessary to manage Siebel Analytics so that the specific responsibility appears in the list. It is also possible to configure the iBot so that the report is sent filtered by user, that is, if in any of the columns the LOGIN of a user appears, we can specify this column in the section “Determine recipients from the conditional request” of the iBot, and the report could be sent only to those users whose LOGINs appear in the result of the report, so that each of them was only sent the corresponding records. This is very useful since it allows you to customize the content of the report for each user, and if the report is running as a PivotTable, the column containing the LOGIN does not even have to be visible.
- Content of the delivery: Here the Subject of the mail is specified, and the specific report that it will contain.
- Other considerations:
- If you configure the iBot to be sent only once, do not forget to indicate when you want it to be sent. By default the shipment would be immediate, so it will be sent at the time we save the iBot. If, on the other hand, we specify a date and time, and it is obsolete, the report will not be sent.
- The report runs at the time of submission, so it is important to take into account the time when the data is dumped from Siebel OLTP, so that the report shows data as up-to-date as possible.
- For the iBot to work, the iBot owner must be active and have access to Siebel Delivers. It is important to take this into account in the face of possible employee losses or job changes. It may be a good idea for these iBots to be created with a generic user, so that all administrators can access them, make changes if necessary, etc.
